Hiring Practices

To hire a candidate, it is important to have processes in place to hire as quickly as possible.  This checklist is intended for informational purposes only. 

Prior to hiring a school district may follow the suggested steps:

  • Reference Checks - Complete at least two reference checks on the candidate.  Do not accept a letter as a reference check. (See below for sample questions)

  • Certified Candidate - Verify Teaching License

  • Background Check – Follow district practice (Teacher background checks are included when they have submitted for a CDE credential). Fingerprint card must be submitted to the district prior to employment.  The cost of processing the fingerprints may be charged to the employee.

  • Determine Salary – Based on experience and education.

  • Make Offer - Provide Candidate with enough information to make a decision as to whether they would like to take the position. 

Hiring Paperwork that must be completed:

  • Board Agenda - Submit for Board Approval

  • Contract – Have available immediately.

  • Keys/Key Card Check Out – Use district form

  • Computer/Electronic Devices - Check Out Form for Employee – Use district form – Provide board policy on Terms of Usage.

  • ID Badge – Where to obtain the badge.

  • IT Information - Computer Login and Email Account Information Sheet

  • Employee Handbook

  • Teacher Oath – REQUIRED

  • Direct Deposit – Use district form for automatic deposit

  • PERA form – REQUIRED

  • I-9 Employment Verification - REQUIRED

  • W-4 Form – REQUIRED

  • Employee Acknowledgment Form - Anyone hired after January 1. 2005 earnings from employment in the school district are not covered under SS. Social Security   

  • Sick Leave Bank Form – If available by district

  • Management Systems - Access to Substitute Management System as well as Student Attendance System.  (Or any other Management System needed to complete their jobs…report cards, discipline referral, etc.)

  • Benefits - Determine if position qualifies for benefits.  Provide Benefits packet to candidate.
