E. Intake and Learners Continuing Across Program Years

All new and returning learners require a new learner intake each program year. Continuing learners do not require an entirely new program intake at the beginning of each new program year. Only select intake fields must be updated for continuing learners.

  • New learners are those who have never before enrolled in grant-funded activities at the local program.
  • Returning learners are those who exited activities at the local program and then later return with an intent to receive services.
  • Continuing learners are those who remain enrolled (do not have a 90 day gap in assessment or instruction) across program years which end in June and begin in July.

The same intake data fields that must be updated when a new PoP occurs within a single program year, must be updated at the beginning of each new program year for all continuing learners:

Program Type

If the learner has a change in program type: Under the learner record, select the "History" tab, click to expand the "Enrollment Program History" row, and select the green "Add New Record" button. Enter the learner’s new/changed program type. Save changes.

Secondary Program Type If the learner has a change in secondary program type: Contact your AEI Program Coordinator for reporting instructions.
Barriers to Employment If the learner has a change in employment barriers: Under the learner record, select the "History" tab, click to expand the "Barriers to Employment History" row, and enter the learner’s new/changed barriers. Save changes.
Employment status at entry If the learner has a change in employment status: Under the learner record, select the "History" tab, click to expand the "Work History" row, and select the green "Add New Record" button. Enter the learner’s new/changed employment status. Save changes.
